YardCall is an online booking platform for equine service providers, operated from Cahir, County Tipperary, Ireland. For the purposes of the General Data Protection Regulation (GDPR) and the Irish Data Protection Acts 2018, YardCall is the data controller for personal data collected through this website.

2. What Data We Collect

We collect and process the following categories of personal data:

  • Account information: Phone number (for providers), name, email address
  • Booking information: Horse names, yard addresses, appointment details, service selections
  • Technical data: IP address, browser type, device information, pages visited
  • Communications: Messages you send us via email

3. How We Use Your Data

We process your personal data for the following purposes:

  • Providing and managing the YardCall booking platform
  • Sending appointment confirmations, reminders, and notifications
  • Authenticating provider accounts via one-time passwords (OTP)
  • Responding to enquiries and providing customer support
  • Improving and maintaining the security of our platform

Under the GDPR, we rely on the following legal bases:

  • Contract performance: Processing necessary to provide the booking service you have requested (Article 6(1)(b))
  • Legitimate interests: Improving our service, preventing fraud, and ensuring platform security (Article 6(1)(f))
  • Consent: Where you have given specific consent, such as for optional marketing communications (Article 6(1)(a))

5. Data Sharing

We do not sell your personal data. We may share data with:

  • Service providers and horse owners: Booking details are shared between the relevant provider and client to facilitate appointments
  • Third-party service providers: We use trusted providers for email delivery (Resend), SMS (Sendmode), and hosting infrastructure, all of whom process data on our behalf under data processing agreements

6. International Data Transfers

Some of our third-party service providers may process data outside the European Economic Area (EEA). Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.

7. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected:

  • Account data: Retained while your account is active and for a reasonable period thereafter
  • Booking records: Retained for up to 7 years for business and legal compliance purposes
  • Technical logs: Retained for up to 12 months

  • Rectification: Request correction of inaccurate data
  • Erasure: Request deletion of your data ("right to be forgotten")

YardCall is not directed at individuals under the age of 16. We do not knowingly collect personal data from children.
